From tracked hours to a payroll CSV: client codes and timesheets

Allocate VisibleHours time to a client code, approve a Monday–Sunday timesheet, and export payroll CSV. The tray stays visible.

The tray records the day. Payroll still needs a client, a project, and an approved week. VisibleHours splits that work on purpose: allocate hours on Projects, then snapshot the week on Timesheets, then download a CSV. Nothing about that hides the tray icon.

Put hours on a client code

Open the public Projects feature for the short version, or sign in to the Projects tutorial.

  1. Create a client with a short code (example: FIELD-01).
  2. Add a project under that client, then optional tasks.
  3. Allocate hours for a person and a work date.
  4. Compare tracked time from the agent with allocated time you assigned. Unallocated time stays on the timeline — it does not vanish.

There is no client-file uploader. Activity comes from the Windows agent, not a file drop. If someone asks for “upload the client’s files,” send them to /download.

Approve a Monday–Sunday timesheet

A timesheet is a snapshot of allocated hours for one week. It is not a second tracker. After allocations exist:

  1. Open Timesheets and pick a date in the week.
  2. Build a draft from allocations for that person.
  3. Submit, then Approve (or Reject).
  4. Export approved CSV — one row per client / project / task / date.

Signed-in steps live on the timesheets tutorial. Ask VisibleHours “timesheets”, “open timesheets”, “edit timesheet”, or “time entries” opens Timesheets. “How to edit timesheets” or “timesheets tutorial” opens the signed-in help. The tray agent does not change when you approve a week.

Payroll CSV vs manager exports

Approved payroll rows come from Timesheets. If you need a date-range dump of the timeline, productivity totals, or allocated hours that are not yet a payroll week, use manager report exports. Those three CSVs stay inside your organization.

What this is not

  • Not automatic billing. Seats are still $7 / month on Pricing.
  • Not auto-pay. Ask “auto-pay employees from timesheets” is refused.
  • Not ADP certified, Gusto certified, or a payroll-provider sync. Ask “ADP certified” is refused.
  • Not idle or app time. Timesheet lines are allocated hours only.
  • Not a hidden score. Employees still see pause and quit.
  • Not a replacement for the daily timeline. Unallocated time remains visible.
